Personal Assistant to Director

Location: Kensington Village

Job Type: Full-Time

We are looking for a highly organised and detail-oriented Personal Assistant to provide comprehensive support to our Director. This is a full-time position requiring flexibility, exceptional organisational skills, and the ability to thrive in a fast-paced environment.

The ideal candidate will be proactive, professional, and comfortable handling a wide range of responsibilities. Occasional travel within the UK and abroad, as well as weekend work or overtime, will be required.

Key Responsibilities:

  1. Manage the Director’s daily schedule, including meetings, appointments, and travel arrangements.
  2. Coordinate travel bookings, accommodation, and itineraries.
  3. Handle email correspondence, incoming/outgoing calls, and professional communication.
  4. Prepare detailed reports, presentations, and correspondence.
  5. Maintain accurate records for property management, including compliance schedules, tenancy details, rent payments, and contractor invoices.
  6. Prepare and distribute documents using tools like DocuSign and Adobe Acrobat.
  7. Compile and deliver monthly financial reports for clients, including rent received, expenses, and maintenance invoices.
  8. Onboard new clients, coordinating document transfers with managing agents.
  9. Liaise with contractors for property refurbishments and development projects.
  10. Oversee company compliance processes and maintain well-organised filing systems.
  11. Manage inventory reports and coordinate with inventory clerks.

Qualifications and Experience:

  1. Proven experience as a Personal Assistant or in a similar administrative role.
  2. Experience in property management is highly desirable.
  3. Proficiency in property management software, such as Reapit, is preferred.
  4. Exceptional organisational skills and the ability to prioritise tasks effectively.
  5. Excellent communication and phone etiquette.
  6. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  7. Fast and accurate typing skills.
  8. Discretion and professionalism in handling confidential information.
  9. Valid driving licence is essential.
