Personal Assistant to Director

We are looking for a highly organised and detail-oriented Personal Assistant to provide comprehensive support to our Director. This is a full-time position requiring flexibility, exceptional organisational skills, and the ability to thrive in a fast-paced environment.
The ideal candidate will be proactive, professional, and comfortable handling a wide range of responsibilities. Occasional travel within the UK and abroad, as well as weekend work or overtime, will be required.
Key Responsibilities:
- Manage the Director’s daily schedule, including meetings, appointments, and travel arrangements.
- Coordinate travel bookings, accommodation, and itineraries.
- Handle email correspondence, incoming/outgoing calls, and professional communication.
- Prepare detailed reports, presentations, and correspondence.
- Maintain accurate records for property management, including compliance schedules, tenancy details, rent payments, and contractor invoices.
- Prepare and distribute documents using tools like DocuSign and Adobe Acrobat.
- Compile and deliver monthly financial reports for clients, including rent received, expenses, and maintenance invoices.
- Onboard new clients, coordinating document transfers with managing agents.
- Liaise with contractors for property refurbishments and development projects.
- Oversee company compliance processes and maintain well-organised filing systems.
- Manage inventory reports and coordinate with inventory clerks.
Qualifications and Experience:
- Proven experience as a Personal Assistant or in a similar administrative role.
- Experience in property management is highly desirable.
- Proficiency in property management software, such as Reapit, is preferred.
- Exceptional organisational skills and the ability to prioritise tasks effectively.
- Excellent communication and phone etiquette.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Fast and accurate typing skills.
- Discretion and professionalism in handling confidential information.
- Valid driving licence is essential.
