Our client, a renowned brand in the beauty industry known for disruptive innovation and award-winning products, is seeking a skilled and detail-oriented Executive Assistant and Office Manager to join their team in London, UK. In this role, you will provide high-level administrative support to the executive team and ensure the smooth operation of the office. This is a full-time, permanent position with a thriving organisation that values customer obsession and exceptional quality.

JOB TITLE: Office Manager/ EA

CONTRACT: Permanent

SALARY: up to £55,000

Key Responsibilities:

  1. Provide executive support to the General Manager and assist other team members as needed.
  2. Manage appointments, correspondence, and written communications.
  3. Handle travel arrangements and itineraries for domestic and international trips.
  4. Prepare meeting agendas, take minutes, and follow up on action items.
  5. Maintain confidentiality and professionalism when handling sensitive information.
  6. Prepare expense reports for the executive team.
  7. Assist in running company and personal errands.
  8. Oversee daily office operations, including supplies, equipment, and facilities.
  9. Liaise with vendors and service providers to meet office needs.
  10. Coordinate company events, meetings, and employee activities.
  11. Implement and maintain efficient office policies and procedures.
  12. Work with the Health and Safety Manager to ensure compliance with regulations.
  13. Manage the office budget and track expenditures.

Qualifications & Characteristics:

  1. Bachelor’s degree or equivalent educational background.
  2. Prior experience as an Executive Assistant, Office Manager, or in a similar role.
  3. Proficiency in Google and Microsoft Office applications.
  4. Strong organisational and multitasking skills.
  5. Excellent verbal and written communication abilities.
  6. Ability to work independently and collaboratively in a fast-paced environment.
  7. Resilient with a can-do attitude.
  8. Discretion and ability to maintain confidentiality.
  9. Strong problem-solving skills and attention to detail.
  10. Flexibility to work outside regular business hours, if required.
  11. Adaptability to changing priorities and ability to handle multiple tasks simultaneously.
