We are seeking a reliable and organised Dental Receptionist/Administrator to join our team and support the smooth operation of the practice. This role is ideal for someone with strong administrative skills and a passion for delivering outstanding customer service.
Job Overview:
As a Dental Practice Administrator, you will play a key role in ensuring the efficient day-to-day running of the practice. You will be the first point of contact for patients, handling enquiries, appointments, and administrative tasks to support the dental team. Your organisational skills and attention to detail will contribute to creating a positive patient experience and an efficient working environment.
Key Responsibilities:
- Reception Duties:
- Greet patients warmly and assist with any queries or concerns.
- Manage incoming calls, emails, and online enquiries, responding promptly and professionally.
- Handle appointment bookings, cancellations, and rescheduling.
- Patient Records Management:
- Maintain accurate and up-to-date patient records, ensuring all documentation complies with GDPR and confidentiality regulations.
- Assist with patient registration, including processing new patient information and updating existing records.
- Administration and Office Support:
- Provide general administrative support to the dental team, including managing correspondence and filing.
- Ensure the reception area and waiting rooms are tidy and welcoming.
- Assist with stock control, ordering office supplies, and maintaining equipment.
- Financial Administration:
- Process patient payments, including cash, card, and online transactions.
- Assist with invoicing, sending payment reminders, and managing overdue accounts.
- Reconcile daily takings and maintain financial records accurately.
- Compliance and Health & Safety:
- Assist with the practice’s compliance tasks, ensuring all necessary records are maintained for CQC and other regulatory bodies.
- Support the team in adhering to infection control and health and safety protocols.
Qualifications and Skills:
- Previous experience in an administrative role, preferably in a healthcare or dental setting.
- Strong organisational skills, with the ability to multitask and manage time effectively.
- Excellent communication skills, both verbal and written, with a friendly and professional manner.
- Proficient in using office software (e.g., Microsoft Office) and dental practice management systems (training can be provided).
- A team player with a positive attitude and strong attention to detail.
- Ability to handle sensitive information with confidentiality and professionalism.
Desirable Skills:
- Experience working in a dental or medical practice.
- Knowledge of GDPR regulations and healthcare compliance.
- Basic knowledge of invoicing and financial administration.
